This describes what Better World Makers Network actually stores, why, and for how long. It was written by reading the database rather than adapting a template, so it is specific — and where a practice is not yet as tight as it should be, it says so instead of leaving it out.

What we collect when you have an account

When you sign in with Google or LinkedIn we receive and store your email address, display name and profile picture URL from that provider. We never receive your password.

You can optionally add a LinkedIn profile link and additional email aliases (so the same person is recognised across a personal and a work address). Both are optional and removable.

What we collect when you submit work

A Work Statement contains what you wrote: who has the problem, what is wrong, what you think should be done, and why. Where you named a neighbourhood and a country, we store those.

Submission does not require an account. If you submit as a guest we store only the delivery address you typed and a single-use claim code. A typed email is a delivery address, not proof of identity — an unclaimed statement stays unattributed.

Conversations with our assistants happen in Google Gemini, not here

The BWMN assistants are Google Gemini Gems. Those conversations are saved in your own Google account and governed by Google's privacy policy — not ours. BWMN cannot see them. Nothing reaches us until you copy a block across and submit it yourself.

The practical consequence: if you told an assistant something you would rather we did not hold, simply do not paste that part. And use a personal Google account rather than a work one, particularly for anything sensitive.

IP addresses on concern reports

Our confidential reporting channel does not ask who you are. It does record the IP address the report arrived from, used only to detect coordinated abuse of the channel — never to identify a reporter, and never to corroborate or undermine what a report says.

Being straight with you about a gap: the intended retention limit for these IP addresses is 12 months, and that limit is not yet enforced automatically in our system. Until it is, they are removed on request and we are implementing the automatic expiry. We would rather tell you this than publish a policy we are not yet keeping.

Being named publicly

If a Work Statement of yours is published on the BWMN showcase, your name appears only if you asked for it. That consent is:

  • Off by default. Silence is not consent.
  • Per statement. Agreeing once is not agreeing for everything you ever submit.
  • Withdrawable at any time from your Command Centre.

Adding a LinkedIn link to your profile is not consent to be published — it is entered for identity, and nothing publishes it on the strength of it existing.

Removing your name does not remove the Work Statement. The problem you identified stays in the queue with its score intact; only the credit is detached. That separation is deliberate — it is what lets you be forgotten without the problem being forgotten with you.

If you represent an organisation

For corporate clients we additionally store company name, registration number, industry, a contact name, email and phone, country, and records relating to verification, agreements and billing. This is contract and compliance data and is kept for as long as the relationship and applicable record-keeping rules require.

Where it is stored and who can see it

Data is held in Supabase (PostgreSQL) and, for project documents, in Google Drive under a BWMN Workspace account. The application runs on Google Cloud Run. Some processing therefore happens outside your country.

Access is limited to BWMN staff and Domain Managers who need it to run the pipeline. We do not sell personal data, and we do not serve advertising.

Your rights

You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it, withdraw a consent you gave, or object to a particular use. Where the GDPR or a comparable law applies, those rights apply in full and you may complain to your national data protection authority.

One limit, stated honestly: deleting your account does not delete Work Statements you submitted. The problem described belongs to the record and may already be funded or under research by other people. What we remove is the link between you and it — your name, your credit, your contact details — leaving the statement standing without you attached to it.

These pages have not been reviewed by a lawyer. They were written to describe accurately what this platform actually does with your information and your work, which is more than a generic template would do — but they are not a substitute for professional review, and BWMN intends to have them checked before relying on them commercially. If something here contradicts your rights under applicable law, the law wins.
